Quick start
Create a project
Click + New Project. Paste any background material — emails, notes, a draft spec, bullet points — into the Background brief box. Tomi reads it and structures it into a briefing card before anyone joins.
Invite your team
From People, add each participant. They get a welcome email with sign-in credentials and a SIP extension. Every project can have as many members as you need.
Meet
Everyone opens the project and clicks 🎙 Join audio — or dials 8888 from a Tomi softphone and enters the 4-digit code. Tomi takes it from there.
During the meeting
Project brief (up top)
Everyone lands with the same context. Summary, stakeholders, what's already decided, and open questions — all extracted from whatever the host pasted at creation. Admins can hit ↻ Update brief at any moment to fold in mid-meeting decisions.
AI suggested next questions
Tomi watches the transcript and suggests 3–5 sharp questions the group should be answering next. Regenerates automatically as the conversation evolves. Great for keeping a scattered meeting on track.
Live transcript
Every word attributed to the right speaker, updating every ~8 seconds. Newest at top. Works for browser calls and traditional phone dial-ins simultaneously.
Live presence
See exactly who's on audio (🎙 pulsing green) and who's viewing (👁). When a teammate joins or leaves, you'll know instantly.
Ask the project
Chat with Claude, grounded in your project's transcript and spec. "What did we decide about pricing?" "Who's responsible for QA?" Answers come from your actual conversation — not the internet.
Focus mode
Click the 📋 Project brief header to collapse it when you want to focus on the live conversation. It'll reopen with a subtle badge if anyone updates it.
After the meeting
Lock the project
Admins can lock a project to freeze the spec. Participants can still view and print, but no new transcription or edits flow in.
Export as Markdown
One click downloads a clean Markdown file of the current brief. Drop it into Notion, a wiki, a PR description, anywhere.
Shareable read-only link
Admins can generate a time-boxed public link. Share with clients or stakeholders who don't have Tomi accounts — they see a polished, branded brief and nothing else.
Formatted for paper. Great for in-room meetings or when someone needs a physical copy.
Power tips
Command palette
Press Ctrl+K (or ⌘+K) from anywhere in Tomi to jump between projects or trigger actions without touching the mouse.
Install as a phone app
On mobile, open Tomi in Chrome or Safari, then tap menu → Install app (or Add to Home Screen). You'll get a branded app icon with full-screen experience.
Dark mode
Toggle in the top bar. Your preference is remembered per browser, across projects.
Use both at once
Some teams run Tomi in a browser on their desktop (for the transcript + brief) AND on their phone (for audio). The PWA on mobile is designed exactly for this.
Admin tips (visible to workspace admins only)
Refresh the brief mid-meeting
If a late-joiner shows up or the group makes a major decision, click ↻ Update brief in the brief header. Tomi re-synthesizes using the original context + the transcript so far — everyone sees "where we are now."
Assign members per project
Open any project → 👥 Manage members. Only assigned users see the project (except admins who see all).
White-label the workspace
In Branding, upload your logo, pick a brand color, and add a login tagline. Everything — login page, top bar, email templates, shareable links — reflects your brand.
Resend credentials
If a user loses their password or never received the welcome email, re-invite them from People. They'll get a fresh password and instructions.
